Sample management - Check in/out using a barcode scanner

Introduction

Using barcode scanners may speed up the checjk in and check out process tremendously and we strongly recommend using them. Here is a description how to use barcode scanners in combination with ProStudio. The major benefits with the ProStudio approach is that you not only check the sample in, you validate that it is the correct sample. The key benefits are:

  • Accuracy: Make sure that you have the right sample and that you check it in to the right location.
  • Efficiency: Scanning barcodes is faster and less prone to errors compared to manual entry.
  • Traceability: Provides a clear record of when and by whom the photo sample was checked in.
  • Inventory Management: Helps keep track of all samples in an organized manner, facilitating easy retrieval and management.


Pre requisites

Before you may start scanning products the are some pre-requisites that must be in place.


Barcode Scanner: Set up and connect a barcode scanner to the computer running PproStudio. The scanner can be wired or wireless.

Barcode or QR code: Make sure you use a scanner that supports both barcodes and Q# codes, also referred to as 1D and 2D scanners.

Barcode existance: Each photo sample should have a unique barcode attached to it. This barcode typically contains an ID or a reference number that identifies the product in the product data in ProStudio.

Product data Setup: You have to ensure that ProStudio has the relevant product data imported, including the ID or reference number on tha sample.

Site definitions: You have to make sure that you have definied all the sites that you want to be able to check samples into, please see Product overview/Sites


Check-in/-out Process 

This process can be used either to check a sample into the studio or to check them out of the studio. It can also be done item by item or in bulk. We recommend using the bulk function as this is faster. The bulk check-in uses the Search and Scan feature


Using the "Search and Scan" function

This is a way to do bulk scanning before you check in samples. The benefit of the search and scan function is that it will continue to exist until you clear the list.


 

Use follow this process:

  1. Select the "Product" listing and then select "Search and Scan"
  2. Place the cursor at the search field
  3. Scan the Barcode on each photo sample. 
    • If the product exists it will be visible as a single line item in ProStudio. 
  4. Verify that it is the right sample.
  5. Continue with the next sample
  6. At the end of the process, check that the count is correct
  7. Click on Action/Check-in.
  8. Select the site you want to check the samples into.
    • At this stage you can put a note or information to the sample. 
    • This may be usefult if you are lending the sample out.




Using a regular search function

It is also possible to use the regular search function.This can be good to use if it is a single sample coming into the studio that needs checkin in or out.


Use the following process

  1. Select the "Product" listing
    • Can be on the general listing or on a specific Work Order
    • If you do it in a Work order, the product must exist on that work order
  2. Place the cursor at the search field
  3. Scan the Barcode on each photo sample. 
    • If the product exists it will be visible as a single line item in ProStudio. 
  4. Verify that it is the right sample.
  5. Click on Action/Check-in.
  6. Select the site you want to check the samples into.
    • At this stage you can put a note or information to the sample. 
    • This may be useful if you are lending the sample out.
